General Terms & Conditions – Martial Arts Classes

 

🥋 Registration & Class Size

Registration is done via email and is confirmed upon payment.

Each class is limited to 12 students to ensure quality instruction and personal attention.

Once a class is full, a waiting list will be maintained. You will be contacted as soon as a place becomes available.

 

📆 Class Schedule

Cycle memberships follow three training periods aligned with the Dutch school calendar (Regio Zuid):

  • Cycle 1: January until the May holidays

  • Cycle 2: From the end of the May holidays until the summer holidays

  • Cycle 3: From the end of the summer holidays until the Christmas holidays

There are no classes during Dutch school holidays or during the summer break.

Students will receive the exact training dates and number of classes before the start of each Cycle.

Annual memberships run for 12 months from the student’s registration date and continue across the different training cycles.

 

🥋 Trial Sessions

New students may participate in up to 2 free trial sessions before registering.

Trial sessions are subject to available space in the class.

 

 

🤝 Code of Conduct & Behavior

All students are expected to show respect and consideration toward instructors, fellow students, and the training environment.

Disruptive, aggressive, unsafe, or disrespectful behavior will not be tolerated.

The teacher reserves the right to warn, suspend, or permanently dismiss any student whose behavior:

  • endangers others,

  • causes significant disruption,

  • or violates safety or ethical standards.

Any expelled student is not entitled to a refund for missed or remaining classes.

By participating, students agree to contribute to a safe, supportive, and positive learning environment.

 

 

💶 Membership Types, Fees & Payment

🔹 Cycle Membership

Cycle memberships are calculated based on the number of planned classes within a specific training cycle.

Payment for the full Cycle must be made in one single transaction unless otherwise agreed in writing.

Students joining during an ongoing Cycle may receive a prorated fee based on the remaining classes.

 

🔹 Annual Membership

Annual memberships are valid for 12 months from the student’s registration date.

Annual memberships may be paid:

  • in one full payment, or

  • in three installments as a payment convenience.

Choosing payment by installments does not constitute a monthly or per-cycle subscription. The student remains financially responsible for the full annual membership amount for the agreed 12-month period.

Annual memberships include scheduled training sessions throughout the year, excluding school holidays and summer breaks.

 

🔹 Payment Procedure

Payment is made in advance via bank transfer following an invoice sent through SnelStart.

Your place in the class is secured only after payment has been received.

Class fees and registration fees are non-refundable except in situations specifically described in these Terms & Conditions.

 

🔹 Current Prices

  • Qi Gong / Tai Ji Quan (1 hour): €12.50 per class

  • Kung Fu (1.5 hours): €15 per class

  • Combined participation in both classes on the same evening: discounted total price

Current membership prices and package options are published separately on the website and invoices.

 

 

🥋 Membership to Federation Shun Wu Tang Europe (Kung Fu Students)

All Kung Fu students are required to hold a valid annual membership with the Shun Wu Tang European Federation.

The federation membership fee is currently €38 per calendar year and must be paid directly by the student to the Federation. Payment details will be provided upon registration.

Federation membership is mandatory and provides access to:

  • official seminars,

  • examinations and grading recognition,

  • and participation within the broader Shun Wu Tang martial arts system.

Failure to maintain a valid federation membership may result in suspension from classes. All fees are non-refundable unless otherwise stated or agreed in writing.

 

 

🔁 Missed Classes & Absences

Missed classes are not refunded or rescheduled.

Payment secures the student’s place in the class for the agreed membership period.

In exceptional situations and with prior notice, a make-up class may occasionally be offered if space allows, but this remains at the sole discretion of the school.

 

 

🚪 Cancellation Policy & Refunds

🔹 Cycle Memberships

If you wish to stop after the current Cycle, please notify the school at least 2 weeks before the start of the next Cycle.

If no notice is received before this deadline, the membership may be automatically renewed in accordance with the ongoing registration agreement.

Stopping during an active Cycle does not entitle the student to a refund.

 

🔹 Annual Memberships

Annual memberships remain valid for the full agreed 12-month period.

Cancellation before the end of the membership period does not remove the obligation to complete the remaining payments of the agreed membership.

Outstanding installment payments remain due even if participation is discontinued before the end of the membership period.

Exceptions may be considered only in cases of:

  • serious illness,

  • injury,

  • relocation,

  • or exceptional personal circumstances.

The school reserves the right to request supporting documentation. Any refund, cancellation, or credit remains at the sole discretion of the school.

 

 

🧾 Invoicing

Invoices are sent via SnelStart approximately 1 to 2 weeks before the start of a Cycle or before the renewal/payment date of an Annual Membership.

Payment is due before the first class covered by the invoice unless otherwise agreed in writing.

Late or missing payment may result in the student’s place being offered to another person on the waiting list.

 

 

🔁 Missed or Late Payments

In the event of a late or missed payment, a reminder email will be issued.

If payment is not received within 14 calendar days after the reminder, the student may be temporarily suspended from participation until the outstanding amount is settled in full.

Repeated failure to meet payment obligations may result in permanent exclusion from participation.

Outstanding installment payments for Annual Memberships remain due even if participation is discontinued before the end of the membership period.

Failure to maintain a valid Shun Wu Tang Federation membership may also lead to suspension from Kung Fu classes.

 

 

🧒 Minors

Students under 18 years old must have permission from a parent or legal guardian to participate.

The parent or guardian accepts responsibility for:

  • the student’s conduct,

  • payment obligations,

  • and compliance with these Terms & Conditions.

 

 

⚖️ Health & Liability Disclaimer

Participation in classes is entirely at the student’s own risk.

Students are responsible for ensuring that they are physically and mentally fit to participate in training activities.

If there is any doubt regarding medical condition or fitness, students are advised to consult a doctor before participating.

By joining the classes, students confirm that they understand the physical nature of martial arts and movement training.

In case of medical emergency, the instructor may seek appropriate medical assistance if the participant is unable to do so.

The instructor may provide reasonable first aid assistance within their competence while waiting for emergency services if necessary.

The teacher, assistants, venue owners, and fellow participants cannot be held liable for injuries, accidents, losses, or health-related issues occurring during or resulting from participation in the classes, except where liability cannot legally be excluded under Dutch law.

Although reasonable care is taken to maintain a safe training environment, each student remains responsible for their own safety and well-being during participation.

The school does not provide collective accident or liability insurance. Students (or parents/guardians in the case of minors) remain responsible for arranging their own personal health, accident, and liability insurance.

 

Optional Insurance Coverage

Students may choose to obtain additional insurance through the national federation “Wushu Bond” by registering individually under the name of the club.

The current cost is approximately €12 per year.

This insurance is optional but recommended.

Registration can be completed directly through the federation website.

 

 

📸 Photos & Media

Occasionally, photos or short videos may be taken during classes or events for educational or promotional purposes.

Students who prefer not to appear in such media may inform the teacher during registration or at any time thereafter, and their preference will be respected.

 

 

📢 Communication

Important updates such as:

  • schedule changes,

  • cancellations,

  • payment reminders,

  • or organizational information

will be communicated via email or messenger.

By registering, students agree to receive these essential communications.

Students may unsubscribe from non-essential newsletters at any time.

 

 

🔐 Privacy & Data Protection

Personal data is used solely for:

  • communication,

  • scheduling,

  • administration,

  • and invoicing purposes.

Health-related or sensitive information will be handled confidentially.

Personal information is processed with care and in accordance with the General Data Protection Regulation (AVG/GDPR).

Personal data will never be shared with third parties without prior consent unless legally required.

 

Cookies & Website

Cookies may be used when visiting the website to improve functionality and user experience.

By using the website, visitors consent to the use of cookies in accordance with the website’s privacy and cookie policy.

Users may disable cookies through their browser settings, although this may affect website functionality.

 

 

Right of Withdrawal

In accordance with Dutch consumer law, students have the right to cancel their registration within 14 days after confirming registration via email.

If classes begin within this 14-day period, the student expressly requests the services to begin immediately and acknowledges that the right of withdrawal may no longer apply once participation has started.

 

 

🌪️ Force Majeure

In cases of force majeure, including but not limited to:

  • teacher illness,

  • government restrictions,

  • extreme weather,

  • venue issues,

  • or unforeseen circumstances,

classes may be cancelled, rescheduled, or adapted temporarily.

Any such situations will be handled fairly and reasonably in consultation with participants whenever possible.

 

 

💬 Alternative Class Recommendations

If a class is full or the schedule does not suit your availability, you are welcome to ask for recommendations for trusted colleagues or schools in the area.

 

 

📝 Changes to Terms & Conditions

These Terms & Conditions may be updated periodically.

Any significant changes will be communicated via email and/or published on the website.

Continued participation after notification implies acceptance of the revised Terms & Conditions.

 

 

⚖️ Applicable Law

These Terms & Conditions are governed by Dutch law.

Any disputes arising from participation or interpretation of these Terms & Conditions shall be submitted to the competent court in the Netherlands.

By registering via email and completing payment, you confirm

that you have read, understood, and agreed to these Terms & Conditions.
